Privacy Policy

This policy explains what information Haibit AI (“Haibit,” “we,” “us”) collects through haibit.ai, how we use it, and the choices you have. Haibit is based in Charlotte, North Carolina. Questions go to doug@haibit.ai.

What we collect

Information you give us

• Contact form: your name, email, business name, team size, the topic you choose, and anything you write in the message box.
• Free systems check: your answers are scored in your browser and are not sent to us unless you choose to email yourself notes. If you do, we receive your email, business name, your answers, your score and the recommendation shown.
• Email and video calls: anything you send us directly, and what you share with us on a call.

Information collected automatically

Our hosting provider, Vercel, keeps standard server logs when you visit the site, such as your IP address, browser type, the pages requested and the time of the request. We use these to run and secure the site. haibit.ai does not use advertising cookies or third-party tracking pixels. If we add website analytics, we will update this policy first.

The live demo

We do not record or store anything you say or type in the demo at haibit.ai/demo. If you speak instead of typing, your browser’s built-in speech recognition converts your voice to text. Some browsers, including Google Chrome, do this on the browser maker’s servers under that company’s own privacy policy.

How we use it

• To reply to you, schedule calls and send the notes or proposals you ask for.
• To understand your business well enough to recommend and price our services.
• To run, secure and improve the website.
• To keep business and tax records, and to meet legal obligations.

We may send you a small number of follow-up emails about our services after you contact us. Every one of them can be stopped with a one-line reply.

Who we share it with

We do not sell or rent your personal information. We share it only with:

• Service providers that help us run the business, such as website hosting, email delivery, scheduling and team messaging tools. They may use the information only to provide their service to us.
• Professional advisers such as accountants and lawyers, under a duty of confidentiality.
• Authorities when the law requires it, or to protect our rights or someone’s safety.
• A successor if Haibit is sold or merged, in which case this policy continues to apply.

Client data

When you hire us, the data in your business systems (customer records, jobs, calls, invoices and similar) is handled under our written agreement with you, not this website policy. Our standard approach: your accounts stay in your name, with us as administrators; you own your data and receive a copy you control; we use AI services only on business plans that do not use your data to train their models; and we remove our access when our work ends. If you work in a regulated field, such as healthcare, we sign the additional agreements your field requires before we touch that data.

How long we keep it

We keep inquiries and related emails for as long as they are useful for the conversation and for up to three years afterward, then delete them, unless we need them longer for legal, tax or accounting reasons. Server logs are kept according to our hosting provider’s standard retention.

How we protect it

We use reputable providers, encrypted connections, strong passwords and two-factor authentication, and we limit access to the people who need it. No system is perfectly secure, so we cannot promise absolute security, but we will tell you promptly if a breach affects your information.

Your choices

You can ask us to show you, correct or delete the personal information we hold about you, or to stop contacting you, by emailing doug@haibit.ai. We will respond within 30 days. Depending on where you live, you may have additional rights under your state’s privacy law, and we will honor those requests too.

Children

haibit.ai is for businesses. It is not directed to children under 13, and we do not knowingly collect their information.

Changes

If we change this policy, we will post the new version here and update the date at the top. If a change materially affects how we use information you already gave us, we will tell you by email.
